The AI Connector for Tradies using Xero is built for tradies and small businesses on Xero that want that time back: less time typing up invoices at night, working out who still owes you, and chasing late payers.

It is specifically designed to be simple to set up and easy to use, with no upfront IT investment or set-up costs.

What it can do

  • Draft an invoice from plain words. Say who the job was for and what you did, and it comes back as a correctly coded draft with GST worked out, sitting in Xero for you to check and send.
  • Draft quotes and credit notes the same way. Same plain words, same result.
  • Know who owes you. Who owes what, how late they are, and a chase email drafted and ready to send.
  • Remember your customers. What you charged last time, your usual rates, and a customer’s recent invoices, without opening Xero.
  • Read PDFs and photos. A supplier’s invoice or a customer’s purchase order, read alongside your Xero data.
  • Work where you are. Inside the Claude or ChatGPT app on your phone, on site or at the kitchen table.
  • Drafts only by design. We have limited the tool so that everything it creates lands in Xero as a draft. Nothing is approved, sent or paid without you, giving you the peace of mind that nothing goes out on your behalf.

How it works

That relationship is directly with Anthropic or OpenAI. We never see your conversations. Xero provides the interface. We provide the connection. Xero gives apps a way to access your accounts. The AI Connector for Tradies using Xero is a new product, and we are looking for founding users to shape it with us. The first eight receive:

  • Free access for four weeks from the day we connect your Xero.
  • Then A$29 a month ex GST, held for twelve months. The standing price is A$39 a month ex GST.
  • One Xero organisation, on every device you use your assistant on.
  • No contract. Stop at any time by removing us from Xero’s connected apps.

In return, we ask that you tell us what worked and what did not as you go, over a message thread, and give us five minutes at the end of the four weeks.

FAQs

What is Claude? What is ChatGPT?

Claude is an AI assistant made by Anthropic. You use it like a messaging app, on your phone or on a laptop, and you ask it things in plain words. On its own it only knows what you type or send it; a connector is what links it to another system, in this case your Xero account, so it can look things up for you and put drafts in there. ChatGPT is OpenAI’s equivalent; our connector works in either, so you use whichever one you already have.

Doesn’t Xero already do this with JAX?

JAX turns a message into an invoice. This works across your whole accounts, inside the Claude or ChatGPT app you already use for everything else: it drafts invoices, quotes and credit notes, tells you who owes you and drafts the chase, and remembers what you charged a customer last time. And every draft is checked by you before it goes anywhere.

Can it send an invoice or take a payment?

No. Everything it creates lands in Xero as a draft. You press send in Xero, and money only moves when you move it.

Which plan do I need?

Claude Pro, on your phone and laptop. On ChatGPT, drafting into Xero needs a Business plan. We have not tested ChatGPT Plus for one person yet, so ask us before you count on it. If you do not have a plan yet, we walk you through it on the set-up call.

Can I use it by voice while I’m driving?

A hands-free voice version is in pilot with a small number of tradies. Ask us.

What happens to my data?

Brooklawn Wood provides the connector between Xero and your AI assistant, Claude or ChatGPT. When you ask a question, the connector reads what the question needs from Xero at that moment and passes it to that assistant to answer you. We keep no copy of your data, and nobody at Brooklawn Wood reads it. Your data is never used to train AI models, by us or by anyone else: Xero’s developer terms forbid it.
